This Privacy Policy explains how Learntit ("we", "us", "our") collects, uses, stores and protects personal data when you visit our website, www.learntit.co.uk, or use our enquiry, enrolment and tutoring services. It applies to parents, guardians, students and anyone else who interacts with us through the website.

Please read this policy carefully. By using our website and submitting a form to us, you acknowledge the practices described here.

1. Who we are

Learntit ("we", "us", "our") is a tuition provider based in London, United Kingdom, offering 1-to-1 and small group tutoring in Maths, Science, English and Further Maths for KS3, GCSE, iGCSE and A-Level students.

For the purposes of data protection law, Learntit is the "data controller" of the personal data described in this policy. You can contact us at any time at learntittutors@gmail.com.

2. Information we collect

We collect the following categories of personal data:

Enquiry & contact form data

When you submit an enquiry through our contact page, a landing page offer form, or a waiting list / programme interest form, we collect details such as the parent or guardian's name, email address and phone number, the student's year group, the subject(s) and exam board(s) of interest, how you heard about us, and any message you choose to include.

Enrolment form data

If you go ahead with enrolment, our enrolment form collects more detailed information so we can set up tutoring correctly, including: the student's full name, date of birth, year group and school name; the student's email and phone number (only if provided); the parent/guardian's (and, where added, a second parent/guardian's) full name, email address, phone number and preferred contact method; the subjects, levels and exam boards being tutored; how you heard about us; and confirmation that you consent to us storing this information for the purpose of enrolment.

Website usage data

We use Google Analytics to understand how visitors use our website, such as pages viewed, time on site, approximate location (derived from IP address) and device or browser type. This data is aggregated and does not directly identify you by name.

Local browser preferences

Certain interactive features on our resources pages (for example, flagging a question on a worksheet) save your preference in your browser's local storage. This information stays on your device, is not linked to your identity, and is never sent to us.

3. How we use your information

  • To respond to enquiries and arrange trial lessons, tutoring or group programmes.
  • To set up and manage a student's enrolment, including matching them with the right tutor and subject/exam board.
  • To communicate with parents, guardians and students about bookings, lessons and account-related matters.
  • To keep basic records of who we tutor and what has been agreed, for our own administration.
  • To understand how our website is used and to improve its content and performance.
  • To comply with our legal and safeguarding obligations.

Under UK GDPR, we rely on the following lawful bases:

  • Consent — for example, when you tick the consent box on our enrolment form, or accept non-essential cookies via our cookie banner.
  • Legitimate interests — to respond to enquiries you send us and to keep our website secure and functioning properly, in a way that does not override your rights.
  • Performance of a contract — to deliver tutoring once you have enrolled with us.
  • Legal obligation — where we are required to keep certain records, for example for financial or safeguarding purposes.

5. Cookies & analytics

Cookies are small text files stored on your device that help websites function and help us understand how they are used. When you first visit our website, you will see a cookie banner allowing you to accept or reject non-essential cookies. You can change your preference at any time by clearing your cookies or adjusting your browser settings.

We use the following types of cookie:

  • Essential cookies — required for the website to work correctly (for example, remembering your cookie preference). These cannot be switched off.
  • Analytics cookies — set by Google Analytics to help us understand site usage. These are only set if you accept them.
  • Advertising cookies — we may use Google Ads, including remarketing, to show relevant adverts to visitors on other websites. If and when this is active on any page, these cookies are also only set with your consent.

6. How we store and protect your data

Enquiry and enrolment forms on our website are submitted through Formspree, a third-party form processing service, which delivers submissions to us securely. From there, information relating to enquiries and enrolled students is kept in our own secure Google Drive / Google Workspace account for record-keeping, which is protected by password-based access limited to Learntit staff.

We do not currently process online payments through our website. Any fees for tutoring are agreed and paid directly between you and Learntit outside of the website.

While we take reasonable steps to keep your information secure, no method of storage or transmission over the internet is completely secure, and we cannot guarantee absolute security.

7. Sharing your information

We do not sell your personal data. We only share it where necessary, such as:

  • With Formspree, to receive and process form submissions on our behalf.
  • With Google, for website analytics (Google Analytics), font delivery (Google Fonts) and secure storage of our own records (Google Drive / Workspace).
  • With the specific tutor(s) assigned to a student, so they can deliver lessons effectively.
  • Where required by law, for example to comply with a legal obligation or to protect the safety of a student.

8. International data transfers

Some of the third-party services we use, including Formspree and Google, may process or store data outside the UK, including in the United States. Where this happens, those providers maintain their own safeguards (such as standard contractual clauses) to protect your data in line with UK data protection law.

9. Data retention

If you make an enquiry but do not go on to enrol, we keep your enquiry details for as long as reasonably needed to follow up with you, and delete or anonymise them after a reasonable period of inactivity.

If you enrol with us, we keep student and parent/guardian information for as long as the tutoring relationship continues, and for a reasonable period afterwards for record-keeping purposes, unless you ask us to delete it sooner and we are not legally required to retain it.

10. Children's & students' information

Our tutoring is aimed at KS3, GCSE, iGCSE and A-Level students, many of whom are under 18. Enquiry and enrolment forms are completed by a parent or guardian, who provides consent for us to hold the relevant student information for the purpose of arranging and delivering tutoring. We only use student information to provide our tutoring service and do not use it for marketing directed at the student.

11. Your rights under UK GDPR

You have the right to:

  • Access a copy of the personal data we hold about you.
  • Ask us to correct inaccurate or incomplete information.
  • Ask us to delete your data ("right to be forgotten"), where applicable.
  • Withdraw consent at any time, where our processing is based on consent.
  • Object to, or ask us to restrict, certain processing.
  • Request a copy of your data in a portable format, where applicable.

12. Marketing

We do not send marketing emails to parents, guardians or students who simply enquire or enrol with us. We only use your contact details to respond to your enquiry or manage your enrolment, unless you separately opt in to hear from us for marketing purposes, in which case you may unsubscribe at any time.

13. Changes to this policy

We may update this Privacy Policy from time to time, for example as our services, tools or legal obligations change. Any changes will be posted on this page with an updated effective date. We encourage you to review this page periodically.
